Description

IPOPBOOKS does the books for small businesses in the US. The owner connects a bank account once. AI sorts every transaction, a bookkeeper checks it, and the owner gets a profit and loss report, a balance sheet and a cash flow report for their accountant.

The founder was starting the company from zero and found us on Clutch. We built all of it: the client portal, the workspace where bookkeepers post entries, the admin panel, the AI features and the marketing website.

The challenge

The founder wanted to sell a service, not another app. Owners should never type in data. AI does the routine sorting, and a person approves every entry. Ready-made accounting software would have cost more per client than he planned to charge, so he needed his own platform. He was clear that quality and data security came before speed.

Bookkeepers could not see clients' emails or phone numbers. Only admins could. And there was nothing to sell until all of it worked.

Project management

We met the founder once or twice a week and showed working software at every call. The core scope had a fixed price. New ideas were quoted one by one before we built them.

How it went:

  1. April 2026: first call, go-ahead a few days later, and a working demo 3 weeks in: site, sign-up, bank connection, dashboard, bookkeeper inbox and admin panel.
  2. May: one subscription per company, email replies from clients, a new US bank data provider, live tests before launch.
  3. June 16: public launch on the client's own AWS account.
  4. After launch: monthly support, then a second phase agreed in September.

The launch was planned for June 1. We moved it to June 16 to test everything with live bank data first. During the build, only one person at Rocketech could see client data.

How AI and the bookkeeper split the work

AI never writes to the books on its own. For each new transaction it suggests a category, how sure it is and a one-line reason. The bookkeeper approves or fixes it, and only then does the entry go into the ledger.

The system remembers each approval. The next charge from the same merchant gets the same category at once, with no AI call. Over time a client gets fewer questions, and the platform pays for fewer AI calls.

When a charge makes no sense, the bookkeeper flags it and AI drafts a short question for the owner. The owner answers in the portal or just replies to the email, and the answer lands with the right bookkeeper.

Functionality

One portal serves business owners, bookkeepers and the company's admins. Each role sees only what it needs.

For the business owner

  • Connect a bank: link accounts and cards through a secure bank feed and pick the date to pull transactions from.
  • Dashboard: income, expenses, profit and top costs, for one bank or all of them.
  • Questions: answer the bookkeeper in the portal or by replying to the email, with a receipt if needed.
  • Reports: profit and loss, balance sheet and cash flow, with CSV export.
  • Billing: a 10-day free trial with no card, or pay from day one, then one of three monthly plans.

For bookkeepers

  • Inbox: new transactions with the AI suggestion and the bank name, ready to approve or ask about.
  • Double-entry ledger: each approval posts a balanced entry, and an hourly check makes sure the books still balance.
  • Privacy: bookkeepers see only their own clients, by name and ID number, never their contact details.

For the company

  • Admin panel: clients, staff, bookkeeper assignment and a log of every posted entry.
  • Team levels: bookkeeper, manager and senior manager, with up to 10 bookkeepers per manager.

A website built to sell

The founder didn't want a support team on day one, so the website had to explain the service and answer questions on its own.
  • AI chat: answers questions about plans and setup at any hour, from notes the founder can edit.
  • Walkthrough video: a 2-minute tour of the product, made with AI.
  • A 14-step quiz: short questions about how you keep your books today, then a free trial.
  • Copy by region: visitors from the US, Europe and Canada see wording for their market.

Pitfalls

The first US bank data provider asked for a stack of security policies before it would sign.

We moved bank feeds to another provider, so the launch didn't wait on that paperwork, and kept the first provider in the code for later.

Results

The platform went public on June 16, 2026, 10 weeks after kickoff. The first working demo came 3 weeks in.
It's ready to take money: the free trial, three monthly plans and card billing work in production. A live card payment and refund were tested before launch.
Bookkeepers approve AI suggestions instead of typing categories. Merchants they have approved once are sorted from memory, with no AI cost.
The bookkeeping team can grow without rework: roles for bookkeepers, managers and senior managers are already built in.
The website scores 100 for accessibility and SEO in Lighthouse, and 95 to 100 for desktop speed (measured September 2026).
The client rated the project 5.0 out of 5 on Clutch for quality, schedule and cost.
